Organica is currently looking to fill a Office & Travel Manager position.
Summary of Responsibilities
- Office management
- Ensure the daily operation of the office, including coordination and supervision of cleaning and maintenance service
- Responsible for the Organica Reception (handover incoming posts to employees, handle incoming calls, take care of the meeting room bookings)
- Order general office supplies, stationary and office equipment
- Organize any issues related to representation, orienting guests, ordering supplies for presentations, catering
- Liaise with the facility manager of the office building
- Liaise with service providers (cleaning, plants, hotels, carpenter, etc.). If required, identify new vendors, service providers and make sure that the new option will stay within the budget, coordinate with the partner companies and Organica Legal Department during the contracting phase
- Supervise the storage room, organize regular filing, mail registration
- Manage the company’s car fleet, cooperate with the car leasing companies
- Actively participate in the preparation of the annual office budget
- Travel arrangements
- Support individual as well as small group travel reservations (inbound and outbound travels)
- Confirm reservations to all parties
- Research on optimal travel alternatives
- Coordinate, supervise and implement every aspects of travel arrangements for the staff and executives (flight, accommodation, insurance, visa etc.)
- Liaise with travel agency when required
- People & Culture Team cooperation
- Prepare various reports for the Finance Team and for the Management as per required
- Coordinate EHS processes at Organica in close cooperation with HR
- Actively participate in organization of global teambuilding and other company events
- Actively participate in ad-hoc People & Culture related projects throughout the organization globally
- Assist the work of other People & Culture Team members globally in any Admin related issues
Qualifications
- Certificate of secondary education
- Studies in Commerce, Hospitality and Tourism is a plus
- Excellent English knowledge
- Minimum 5 years’ experience in similar position
- Computer proficiency with MS Office
